Web Hosting for Dentists

Web Hosting for Dentists

What a dental practice website needs from hosting: why health information on a form changes your obligations, stopping enquiries failing silently, using a hosted booking service, and what plan level fits.

Short answer: a dental practice website is viewed on a phone by someone who is often in discomfort, and it collects health information the moment anyone fills in a form. Mobile speed, form delivery and what happens to submitted data are the three things your hosting has to get right. A ยฃ39 a year plan covers all of it.

Looking for plans rather than guidance? Our web hosting plans start at ยฃ39 a year and renew at ยฃ39, with free SSL, daily backups and email on your own domain included.

Health information on a web form changes your obligations

This applies to every practice on this blog, and dentistry is where it comes up most often because so many enquiry forms ask what the problem is.

The moment a patient describes a symptom, a medication or a condition, you are processing special category data under UK GDPR. That is a higher bar than an ordinary business contact form, and it has four practical consequences.

Free SSL is necessary, not nominal. Any decent plan includes it. Without it, that information travels unencrypted.

Do not let submissions accumulate in your WordPress database. Most form plugins retain every entry indefinitely by default, which builds a growing archive of patients’ symptoms in a database that is backed up nightly and readable by anyone with admin access. Turn retention off, or set a short period and stick to it.

Restrict who can log in. A receptionist updating opening hours does not need administrator access to read enquiries.

Ask for less. The simplest fix is design rather than configuration: let the form collect a name, a contact number and a one-line reason for getting in touch, and take clinical detail at the practice where it belongs. Short forms also convert better.

One thing people miss: retained submissions persist in your backup files after you delete them from the live site. That is another argument for not storing them there at all.

Your forms will fail silently unless you configure them

The form submits, the patient sees a confirmation, the email never arrives. Nothing looks broken, so it can run for months, and a practice with a waiting list may never notice.

WordPress sends mail through PHP by default, which is frequently filtered as spam or rejected, particularly when your domain has no authentication records.

  • Send form mail through authenticated SMTP rather than PHP mail
  • Add SPF, DKIM and DMARC records to your domain
  • Deliver to a shared practice address checked daily, not one person’s inbox
  • Test monthly by submitting the form yourself from a different device

Our guides to contact forms not sending emails and SPF, DKIM and DMARC cover both. The authentication records matter twice over if you send appointment reminders, since a reminder in a spam folder is a missed appointment.

Mobile speed, because of who is looking

Your visitor is usually on a phone, frequently in pain, and often comparing two or three practices to find one taking patients. A site taking six seconds loses them.

What causes it, in order:

  • Unresized photographs of the practice and team, straight off a phone at four megabytes each
  • No caching, so pages that rarely change are rebuilt for every visitor
  • Embedded maps and review widgets, which can add several seconds each
  • Heavy page builders loading a large framework for a handful of pages

SSD storage and a CDN handle the server side. Put a tappable phone number in the header of every page, since a patient in pain will call rather than fill in a form. Our plain English guide to Core Web Vitals covers how speed is measured.

Booking: hosted service, not plugin

A booking plugin inside WordPress becomes your responsibility. It holds appointment data alongside health information, needs updating, can break on a WordPress or PHP upgrade, and turns a simple site into a database-driven application needing more memory.

A hosted booking service embeds with a snippet, adds almost no load, handles reminders, and keeps appointment data off your web server. With one, entry-level shared hosting is genuinely sufficient. With a plugin, budget for more PHP memory and expect to maintain it.

Before-and-after images need care and resizing

Clinical photography is persuasive and heavy. Resize to around 1600px wide before uploading rather than compressing hard, and let a CDN handle format conversion.

Two practical points beyond speed. Deleting an image from a page does not remove the file, which stays in the media library at its original URL and in your backups; delete the file itself. And store patient images with the same care as any clinical record, which generally means not in your website’s media library at all.

Email on your own domain

An address at your own domain rather than a free webmail account is included with most plans, and it makes appointment reminders look legitimate rather than like a scam.

Our email hosting plans include unlimited mailboxes with 10GB each, so reception, accounts and each clinician can have proper addresses without per-user charges.

What plan you actually need

Entry-level shared hosting covers a dental practice comfortably, assuming a hosted booking service. SSD storage, a CDN, free SSL, daily backups, unlimited mailboxes. Around ยฃ39 a year.

Move up a tier if you run a booking plugin. If you have several practices, our multi-site plans run them from one account and one bill.

Check the renewal price rather than the introductory rate. Our guide to cheap web hosting in the UK covers what should be standard.

Frequently asked questions

Is it safe to take enquiries about symptoms through a website form?

With SSL, minimal fields, a short retention period and restricted access, yes. The safer design is to collect contact details only and take clinical detail at the practice.

Where do form submissions get stored?

By default in your WordPress database, indefinitely, and therefore in every backup. Turn retention off and route submissions to a monitored practice address instead.

Why are patients’ enquiries not reaching us?

Usually WordPress sending mail through PHP and being filtered. Authenticated SMTP plus SPF, DKIM and DMARC fixes most cases.

Should we use a booking plugin or a hosted service?

A hosted service. It adds no load, handles reminders, and keeps appointment data off your web server.

What hosting does a dental practice need?

Entry-level shared hosting. The requirement is driven by mobile speed and data handling rather than by size or traffic.
